Events

An event is a game, session, or meetup: a time, a place, and attendee list.

An administrator can create an event, or members can collaborate to decide on a time and place on the Availability tab - see Availability scheduling help for how that works. Events shows up on the Events page and in everyone's calendar.

Any member can also lock one in from the Availability tab, once enough people have marked themselves free at the same time. No administrator is needed.

Six days before an event, everyone who isn't already attending gets an attendance request notification - see Notifications help. Confirming adds you to the attendee list and you can cancel your own attendance at any time up to the event.

An administrator can set the maximum number of attendees for an event. Past the limit, confirming adds you to the spare list instead of the attendee list. If a confirmed attendee cancels, uin4 asks everyone on the spare list if they can fill the spot.

An event locked in from the availability grid doesn't have an organiser by default, so it carries its own venue question: has anyone actually booked the place? Any member can set or correct the location, suggest alternatives and vote on them, then mark it booked or say no booking is needed. uin4 itself never books anything.

Cancelling an event

An administrator can cancel an upcoming event with a reason. Everyone who had confirmed or was on the spare list is notified with that reason.
